Feature of the Month: Deduping Tool

Crimson Feature of the Month | CMDI.comEarlier this month, we rolled out a new deduping tool that identifies possible duplicates for you to review. Found on the Compliance dashboard, the deduping tool highlights the potential records in groups of twenty and highlights the reason why they are a possible duplicate. Using this new tool is the fastest way to clean up your database and review duplicate entries in your database.

How to use the new Deduping tool:

1. To access the deduping tool, go to the Compliance Dashboard on Crimson.2. Click on the number above Possible Duplicates, which is in the upper right-hand corner.3. A list of the 20 possible duplicates will open in a new window. Using the two check boxes in the last two columns on the right, indicate if the records should be merged or not.

a. Not a Dupe – Check this box if the matched pair are NOT duplicate records.b. Keep – Check this box if the matched pair are duplicates and you want to indicate the KEEP record. Leave this box empty for the record you want to indicate as the MERGE record. After clicking on the Process button, the record marked MERGE will combine with the KEEP record.

5. Repeat the above steps for each pair of matched duplicate records listed. Click the  button at the bottom of the screen to process the records you have either marked as Not a Dupe or Keep.6. Once the  button is clicked, the next 20 matched duplicate pairs will appear. Repeat the above steps until your review is complete.

What do the Deduping columns mean?

  • PID: This is the unique Crimson ID assigned to every record. If you click on the PID, you will open the record’s full profile.
  • Match Type: The reason why the record has been flagged as a possible duplicate
  • Name: Full name of the record
  • MRC Date: Most recent contribution date
